As we prepare to host the 2026 Celebration of Care Gala, the Surrey Hospitals Foundation is seeking qualified and creative partners to help bring this extraordinary event to life. Below are the available RFP opportunities. Each PDF outlines the full scope, requirements, and submission deadline. We invite you to submit your proposal before July 23, 2025.

RFP Opportunities: 

Catering and Beverage Service

• We are seeking a full-service catering and beverage partner for our black-tie, seated gala hosting up to 500 guests.
• The evening includes passed appetizers, a three-course plated dinner with entrée selection, dessert, and coffee/tea service.
• A premium beverage experience—featuring bar service and coffee carts—is also required.
• Vendors must demonstrate exceptional service, attention to detail, and flexibility for dietary and thematic elements.

Decor and Design

• We are looking for a decor and design partner to creatively interpret and execute the 2026 Gala theme.
• The event should offer an immersive guest experience from arrival to finale.
• Responsibilities include full-scale design, sourcing, and implementation of decor in collaboration with our planning and production teams.

Entertainment

• We are seeking an entertainment partner or agency to curate a memorable and dynamic guest experience.
• The entertainment program should include a mix of immersive, hosted, and performance-based elements that align with the event theme, energize the audience, and support key fundraising moments.

Event Rentals

• We are seeking a rental supplier to provide high-quality, visually cohesive rental items for a seated dinner, stage program, and experiential guest spaces.
• Items must align with the event theme and accommodate up to 500 guests.

Floral Design

• We are seeking a floral designer or team to create floral installations that elevate the guest experience and reflect the event theme.
• Florals will be featured across tables, stage, entryways, lounges, and key visual moments.

Graphic Design and Event Branding 

• We are seeking a graphic design partner or studio to develop cohesive branding across all event materials.
• Deliverables include print collateral, digital assets, environmental signage, and theme branding for a high-profile event with significant donor and media engagement.

Photography

• We are looking for a professional event photographer or team to document the event with discretion and coverage of ambiance, key program moments, decor, sponsor visibility, and guest experience.
• Photos will be used in marketing, donor reporting, and archival documentation.

Production

• We are seeking a full-service production company to lead all AV, lighting, and technical execution.
• The vendor will manage multimedia presentations, stage production, and live entertainment to ensure a seamless guest experience.

Security

• We are looking for a licensed security provider to offer site-wide security and guest management.
• Services include 24/7 coverage and an event-specific guest safety plan for 500 attendees at Aria Banquet Hall.

Valet

• We are seeking a professional valet and transportation team to deliver a smooth, guest-first arrival and departure experience.
• Services must accommodate up to 500 guests, including VIPs and major donors.

Videography

• We are seeking a videography team to capture scripted programming, entertainment, experiential moments, and sponsor activations.
• Video deliverables will be used for event promotion, thank-you messaging, and internal storytelling.
